It acts on the reply

A reminder sequence sends message three whether or not you answered message two. Duewick works out what came back — a commitment, a query, a dispute, the wrong person — and takes a different route for each.

It holds people to what they said

A commitment becomes an amount and a date. When that date arrives it checks Xero, and if the money is not there, the next message already knows who promised what.

It remembers how each debtor behaves

Who pays after one nudge, who always needs a PO number, who went quiet last quarter. Each approach is informed by the last one instead of starting from zero.

One conversation per debtor

Five overdue invoices with the same customer is one thread, not five separate chases arriving the same morning from the same sender.

It takes itself off the case

A payment, a dispute, an identity that does not add up, or anything outside your mandate pulls the case out of the queue before the next message goes.

It only counts money that arrived

Commitments, credit notes, write-offs and reversals are tracked apart from cash. A balance reaching zero is not a recovery until the payment is recorded.

What it will not do

Collections goes wrong when software oversteps. These limits are built into the product, not left to the model’s judgement.

  • Agree a discount or a payment plan outside the mandate you set.
  • Threaten legal action. Escalation goes to a legal partner you choose and engage yourself.
  • Treat a commitment, a credit note or a write-off as cash recovered.
  • Keep working a case after the money lands, or approach anyone you have paused.
